Your post reads itself.

DocLif takes in invoices, contracts and letters from the authorities, reads out sender, amount and due date, and files them away. The language model behind it runs on our own hardware — your documents go to no AI provider.

Cancel at any time. Your account then moves to the free plan — nothing is deleted.

Order that does not have to come from you

What a filing system usually demands by hand — naming, sorting, noting due dates — is done here by the analysis. You only check what was uncertain.

  • Reads what it says

OCR turns the scan into text, a vision language model turns that into fields: sender, category, amount, due date, reference number. Whatever the model considers uncertain lands in the review list instead of unchecked in the archive.

  • A search that knows the language

Word stems, umlauts and ß, phrases, typos. “Versicherung” also finds “Versicherungsbeitrag”, and the hit is highlighted in the PDF.

  • Due dates that stand out

Every document can have a due date and a payment status. Overdue, due soon and settled are three colours — the same in the list, in the calendar and in the statistics.

  • Mailboxes fetch by themselves

Enter the IMAP access, and attachments from incoming mails run through the same processing as uploaded files. An import log shows what came from which mail.

  • Scan with the camera

Photograph the paper, the edges are recognised, the perspective is straightened, and the PDF is created directly on the device. In the Android app, as an installed web app on the iPhone or in the browser.

  • Pass it on without an attachment

A link instead of a 12 MB mail — with a password if you like, with an expiry date or for a single retrieval only. Whoever gets the link needs no account.

  • Sign and send back

Store the signature once, place it in the PDF, done. Form fields are checked beforehand so that nothing empty gets signed.

  • Every change stays traceable

The document records which field was changed when and by whom — and whether it was the analysis, a sender rule or a person. Deleted items can be restored for 90 days.

From letter to filing

Four steps, two of which you do yourself.

  1. 1

    Deliver

Drag files anywhere into the window, scan them with the camera or let DocLif fetch your mailbox. A whole folder at once, too — the progress is shown next to it.

  2. 2

    Have it read

OCR produces the text, the language model the fields. Both run on our servers; no document leaves the service towards an AI provider.

  3. 3

    Check briefly

Uncertain hits collect in the review list. One click confirms or corrects — and the correction serves as an example for the next similar letter.

  4. 4

    Find it again

Full-text search, filters by category, sender, due date or amount, saved views and a calendar for everything still due.

Verifiable, not promised

  • Servers in Germany

DocLif runs at Hetzner Online GmbH, located in Germany. Hetzner processes data only on our behalf; a processing agreement under Art. 28 GDPR is in place.

  • Stored encrypted

Every file is stored in object storage encrypted with AES-256-GCM. The credentials of connected mailboxes are also kept encrypted in the database.

  • Analysis in-house

Text recognition and the language model run on the same server as the service. No request goes to OpenAI, Google or Anthropic, and nothing is used for training.

  • No tracking

No advertising or analytics cookies, no external fonts, maps or videos. Your browser only talks to DocLif.

  • Out again at any time

Download originals one by one or as a ZIP. Deleted items can be restored for 90 days, and nothing is deleted when you cancel.

Frequent questions

Does an AI provider see my documents?

No. The analysis runs on the hardware that also runs the service, with a locally installed language model. No request goes to OpenAI, Google or Anthropic, and your documents are not used as training material anywhere.

Where are the files kept?

In an object store, encrypted with AES-256-GCM; the database holds only the reference. The servers are in Germany, operated by Hetzner Online GmbH.

Can I get out again?

At any time. Individual documents are downloaded in the original, several at once as a ZIP through the multiple selection. The original file stays unchanged — even after pages have been edited or signatures added.

What happens if I cancel?

Everything stays usable until the end of the paid period, after which the account moves to the free plan. There you can still view and download everything; new uploads and analyses pause. Nothing is deleted.

Does it work on a phone?

Yes. For Android there is an app to download — with a camera scanner, edge detection and perspective correction directly on the device. On the iPhone you add DocLif to the home screen in Safari via “Share → Add to Home Screen”; the same works in any browser that installs web apps.
